Position Summary:

The Full Time Office Manager at Honeyfund acts like an executive assistant and office manager all rolled into one, providing stellar administrative support primarily for our kick-ass female CEO.
 

Job Requirements:

  • Provide general admin support to all departments, primarily for the CEO and CTO
  • Prepare routine correspondence, reports, and presentations
  • Assist with payroll and running payroll reports
  • Assist with new hire paperwork and benefits
  • Make copies of and/or mail correspondence or other printed materials
  • Handle scheduling for the CEO, along with company-wide scheduling as needed
  • Organize and maintain file system, and file correspondence and records of a confidential nature
  • Assist and maintain account payables
  • Assist with Customer Service tasks such as correspondence with customers or process refunds and payments 
  • Plan office events, parties and team meetings
  • QuickBooks reconciliation, payments and reports
  • Arrange extensive and complex travel plans
  • Order and maintain supplies and arranges for equipment maintenance
  • Prepare outgoing mail and correspondence, including email and faxes
  • Greet visitors and direct them to the appropriate area or person
  • Run errands
  • Other administrative projects as they arise


Knowledge, Skills, and Abilities:

  • Highly organized and detail-oriented
  • Knowledge of standards for office communications
  • Ability to read and interpret company policies, regulatory guidelines, and other work-related documentation
  • Ability to abide by confidentiality requirements when working with confidential and sensitive information
  • Human resources support experience
  • Travel planning experience
  • Easy-going attitude and ability to handle complex, high-pressure situation with decorum (and you must know what this word means ;)
  • Skill in providing efficient and effective customer service to employees at all levels within the company
  • Ability to communicate effectively through verbal and written methods
  • Ability to complete work and follow through within the required timelines
  • Must be computer savvy and be able to pick up new programs and systems.
  • Must be proficient in Mac computers, QuickBooks, Microsoft Office (Word and Excel required) Google Calendars and various Social Media platforms such as Facebook, Twitter and Pinterest
  • Must have a valid drivers license and vehicle for running errands
  •  

Education and Experience Requirements:

  • A minimum of 5 years of executive assistant or office manager experience
  • Bachelor’s Degree
  • Must have experience providing administrative support for corporate executives

 

Compensation:

$45,000 per year plus benefits, DOE
